Payer and Vendor Contract Register
From $14,500 to build, then $350 to $850 a month by contract count, or start with your top 50 vendor contracts for $6,500. The register pulls each deadline and price term from your payer and vendor contracts, cites the page it came from, and warns the person responsible for that contract 90 days before each date. A person on your team verifies every term.

Built for
- CFOs who have found a missed appeal window or a contract that renewed at a higher price
- Health system COOs and supply chain leaders with hundreds of purchased-service contracts
- Managed care and revenue cycle teams whose contract terms sit in PDFs
- Post-acute and senior care operators with Medicare Advantage contracts and agency staffing bills
- Revenue cycle and billing firms tracking payer terms across many clients
Why it's worth it
Today
Contract terms sit in PDFs across shared drives and inboxes. A vendor contract renews at a higher price because nobody saw the notice date, or an appeal window closes on a claim the payer would have paid.
After
Every deadline and price term sits in one register, with the page it came from. The person responsible for each contract gets a warning 90 days before each date, with a drafted note for the renewal talk.
Why it matters
9.9%
Hospital spending on supplies rose 9.9% in 2025 and drug spending 13.6%, against 7.5% growth in total expenses.

$57.23
Fighting a denied claim cost hospitals $57.23 per claim in 2023; nearly 15% of claims are denied at first, and about 70% of denials are eventually paid.

How it works
A person on your team approves every result
The tool runs these steps on a schedule. Nothing moves past the approval step until someone on your team signs off.
- InputContracts and invoicesContracts and amendments from shared drives or your contract system, invoices from accounts payable, agency timecards and claim counts by payer.
- AI modelRead and citePulls out each term with its page cited and links each amendment to the contract it changes. Labeled AI notes flag terms that stand out.
- A person approvesYour contract owner verifiesA person checks every term against its page before it enters the register.
- CodeCheck and warnInvoices compared with contracted prices. Alerts 90, 60 and 30 days before each date.
- OutputRegister and alertsA searchable register, alerts by email or Teams to each contract's owner, and drafted renewal notes.
What you get
Payer contracts
Filing limits and appeal windows
Timely filing limits (how long you have to bill), appeal windows, prior authorization requirements, and notice and renewal dates. Each amendment is linked to the contract it changes, so the current term is clear.
Vendor contracts
Renewals before they roll over
Auto-renewal dates, notice windows, yearly price increases written into the contract, and minimum commitments for purchased services, IT, equipment service and staffing agencies.
Invoices
Invoices checked against the contract
Each month a sample of vendor invoices is checked against contracted prices. Staffing agency invoices are also checked against approved timecards.
Renewals
A drafted note 90 days out
An alert and a drafted renegotiation note before each notice date, with the clauses and the year's spend behind it. Labeled AI notes point out terms worth raising, such as a yearly price increase written into one contract that is steeper than in your others.
What done means
Each contract in scope is in the register, with every term cited to its page and verified by the person who owns your contracts, such as your contracts or billing manager.
For a month, alerts have fired on schedule, and the first invoice sample check has been reviewed by its owner.
Choose your version
Each version is a one-time build, then a flat monthly fee for monitoring and fixes. If you stop the fee, the tool keeps running in your account.
What the monthly fee covers
We watch the alerts and the monthly invoice check, fix the tool when a document source changes, keep it working as AI models change, and reply by the next business day, with a check-in each month. The fee is set by how many contracts the register holds. It's month to month with 30 days' notice, and the register is yours either way: it keeps running in your account if you stop. Because it runs in your own accounts, you pay its hosting and AI usage directly, and your proposal estimates that bill in writing before you sign. We set the accounts up with you during the build, and their bills come to you.

- Paying by purchase order? There's no deposit: we invoice half at kickoff and half at acceptance, or from $20,000, 25% at kickoff, 35% at a mid-build demo and 40% at acceptance. Acceptance means the “What done means” criteria are met.
- The monthly fee is month to month with 30 days' notice, and we reply by the next business day. The tool is yours on final payment and keeps running in your account if you stop the fee.
- The fee for a smaller first step counts toward the full build if you buy it within 90 days.
- Running three or more of our AI tools? Their monthly fees are capped at $1,000 a month in total. Health system, network and multi-site versions are priced on their own.
- A person on your team verifies every extracted term before it enters the register.
Year one is the build plus 12 months of our fee. Hosting and AI usage are billed to you by those providers, and your proposal estimates them before you sign. The build times on this page are measured in weeks of full-time work. Start and finish dates are set in writing in your proposal.

Where this comes from
It follows the same design as Sentinel, a system Tyler built that checks a live data platform against its original sources every morning and sends each finding to the team responsible. Reading contracts is the new part of this build, so you can test it first on a small set of your own contracts before you buy more.

How much will it save us?
We don't publish a savings rate, because we found no reliable source for one. Bring your own number, such as last year's missed appeal windows or a contract that renewed before anyone saw the notice date. If you start with your top 50 vendor contracts for $6,500, you see what they contain before you buy more.
Why do appeal windows matter?
In Premier's 2023 data from 280 hospitals, about 70% of denied claims were eventually overturned and paid, and fighting each one cost $57.23. A missed window turns a payable claim into a write-off.
Doesn't our contract system already do this?
If you already use contract modeling software, it may hold your payer rates and flag underpayments. Check whether yours also holds obligations and deadlines with the clause cited. If it does, you don't need this. If it doesn't, the register fills that gap and can send its data into your system.
Does it handle our denied claims?
No. Handling denials means reading the claims, which contain patient information. The register sticks to contracts, invoices and claim counts.
Can AI read contracts accurately?
You can test it on your own contracts first, with the $6,500 starting project. A person checks every term against the cited page before it enters the register, and the tool never marks a term verified on its own.
Can we start with payer contracts or agency invoices instead?
Yes. Instead of your top 50 vendor contracts ($6,500), you can start with your top 10 payer contracts for $9,500, or three months of staffing agency invoices checked against approved timecards for $7,500. Each counts toward the register if you buy it within 90 days.
